Altair will only use your personal information to deliver relocation services. The legal reasons We use your information include Our contracts with your employer or with you directly, Our legitimate interests in managing relocations, and, where required, your consent.
Most often, this means using your information to carry out your employer’s relocation program or to manage the relocation process. If you are using the Altair Advantage (“Affinity Program”), We use your information to provide the services you request directly from Us.
As part of Our commitment to transparency, and typically in line with Our contractual obligations, We obtain your consent before processing your personal information. This includes situations where consent is required, for example, when handling sensitive details, submitting data to government authorities (for tax, customs, or immigration purposes), or sharing your personal information with approved third-party service providers (Sub-processors).
The types of personal information We ask you to provide may include but not limited to the following:
- Full Name
- Address
- Zip code/Postal code
- Telephone number
- E-mail address
- Financial information, including banking information
- Other sensitive or personal information you may share with Us
How we will use information about you
We will use the personal information We collect about you in reliance on the EU-U.S. Data Privacy Framework (“EU-U.S. DPF”) and, as applicable, the UK Extension to the EU-U.S. DPF (“UK Extension”), or the Swiss-U.S. Data Privacy Framework (“Swiss-U.S. DPF”) as set forth by the U.S. Department of Commerce in support of the following Global Relocation services:
- Departure Services;
- Destination Services;
- Consulting Services;
- Immigration Services;
- Reporting Services;
- Travel Arrangements;
- Transition and other types of special services, for example, home marketing assistance (where applicable) and/or transportation of household goods.
Information Collected Automatically
As is true of most websites, We gather certain information automatically and store it in log files. This information includes Internet Protocol (“IP”) addresses, browser type, Internet Service Provider (“ISP”), referring/exit pages, operating system, date/time stamp, and clickstream data.
We may combine this routinely collected log information with other information We collect to improve services We offer you, marketing and site functionality, and provide support services, when needed.
CCTV (Closed Circuit Television) in the Workplace
We use CCTV devices to record images for the purpose of providing a safe and secure environment for the benefit of those who work at and visit Altair’s offices, and for the protection of Our property.
Monitoring of CCTV systems helps Us to:
- oversee public safety;
- maintain the security of Our property;
- offer reassurance to staff; and
- deter, prevent, and detect misconduct, crime, or violations of law.
We consider the processing of personal data for these purposes to be in our legitimate interests so that We can have a safe workplace for employees and visitors alike.
ALi Chat Tool
Our website includes access to ALi, an AI-powered virtual assistant available 24/7 to answer your relocation questions in real-time. ALi has access to information about the relocation benefits, policies, and processes provided by your employer. To use ALi, you must log in through Our secure customer portal.
Your chats with ALi are linked to your user account and retained in line with Our data retention policies. Historical chat records remain available to you for future reference. You do not need to provide additional personal information to use ALi. If you choose to share personal information in your chats, it will be handled in accordance with this Privacy Policy.
Altair does not share the content of your ALi chats with your employer or any third party. We may use aggregated and anonymized chat data to prepare summaries and analytics reports for Our clients. Altair staff may review ALi conversations periodically to check accuracy, ensure fairness, and identify opportunities to improve responses. In addition, your assigned Altair consultant will have access to your ALi chat records to better support you during the relocation process.
